Switching to VoIP: a step-by-step plan

Switching to VoIP is straightforward if you plan it in a few steps. Most small businesses can move in a couple of weeks, without any downtime.

1. Audit what you have

List your phone numbers, lines, users and anything else plugged into a phone line (alarms, card machines, fax). Note how calls are handled today: who answers, what happens out of hours, and which numbers you advertise.

2. Check your broadband

A stable business connection is the foundation. Each call needs little bandwidth, but a consistent connection matters. If you have several people on calls at once, ask us to check your line.

3. Choose equipment

  • Apps on laptops and mobiles (free with Premium and Enterprise plans)
  • IP desk phones for reception and busy desks
  • Headsets for anyone on the phone a lot

4. Design your call flow

Decide on menus, ring groups, opening hours, voicemail and call recording. We set this up for you based on how you work.

5. Move your numbers

We port your existing numbers. Your current service carries on until the switch date. See keeping your number.

6. Train the team

A short session covers answering, transferring, voicemail and the apps. Most people are comfortable within a day.

7. Go live and review

After the switch, check call reports for missed calls and adjust routing. Small tweaks in the first few weeks make a big difference.
